What is the difference between AI, RPA, and custom software?

These three terms are often used interchangeably in vendor pitches, which causes costly mismatches between the technology selected and the problem being solved. Here is how to choose.

RPA -- Robotic Process Automation

RPA uses software bots to mimic human UI interactions: logging into a system, clicking through menus, copying and pasting data between applications. RPA works on stable, repetitive, rule-based processes and requires no API access to the target systems. Its primary weakness is brittleness -- any change to the UI (a software update, a redesigned form) breaks the bot. RPA is appropriate when you cannot get API access to the systems involved and the process is highly stable.

AI -- Artificial Intelligence Automation

AI handles tasks that require understanding variable content: extracting data from inconsistently formatted documents, classifying customer intent from free-text messages, detecting anomalies in data streams, or generating structured outputs from unstructured inputs. AI improves with more data and handles variation that would break RPA. AI is appropriate when the input is variable, unstructured, or requires judgment.

Custom Software

Custom software is the system that owns the workflow end-to-end -- managing state, storing data, integrating with other systems, and providing the interface your team uses. AI and RPA are components that can be embedded in custom software. Custom software is the right choice when off-the-shelf tools do not fit your workflow, when you need full data ownership, or when the system is a core competitive differentiator.
